Adhoc 50th Anniversary Planning Committee Minutes 2007 01-22-07 APPROVED AGENDA COMMUNITY AD-HOC 501h ANNIVERSARY PLANNING COMMITTEE Monday, January 22,2007 7:00 p.m. City Conference Room Present: City Staff Art Prochaska, Mayor Glory Spies. Community Relations Director Tim Evans,Yorkville Park District Others JoAnn Gryder Madonna Bialek Adalma Stevens Jill Harker Bobbi Burgstone, Chamber of Commerce Lorene Frieders Cecelia Sanders Tom Zerante, 1. Minutes were reviewed. Cecelia motioned to accept, Tom seconded. Approved. 2. Introductions were made 3. The various dates for celebrations were discussed. Glory explained there will be a series of events over the months of April through October. April 9—Founding Fathers honored at City Hall, invites to former Mayors and Council Members. This will also be the unveiling of some of the Historical Street Names. Madonna suggested asking the high school seniors to submit essays on"What I believe Yorkville will be like in 50 years."These essays could also be placed in the time capsule. Phil Nelson will donate a vault that will be used as the Time Capsule. Mayor Prochaska suggests that 9x12 envelopes be made available for families and individuals to place photos, notes, and small items that might be of interest that would express what Yorkville is like now. Envelopes can be printed so that information such as name, address, etc. as well as instructions as to what can and cannot be put into the Time Capsule envelope (nothing perishable, no liquids, etc.). It was suggested to get notification out to the schools for student participation. May- Volunteer Appreciation Day—"50 Years of Volunteering."All current and former volunteers will be honored. Notice will be placed in the Kendall County Record asking for groups, clubs, etc., who have helped to make Yorkville a better place to live to let their good works known. June—Music Under the Stars with the Big Band at Riverfront Park.. Tentative date is June 13 from 6:30 to 8:30. Food available—possibly the hot dog stand, and/or the CPA holding their BBQ that evening. July—Float in the July 4`h Parade. After activities in the Park, everyone will gather and then march from the Town Park to the Riverfront Park, where there will be an Ice Cream Social. Suggestions for Optimist Club to coordinate. Possible donation from Meadowvale, Inc. of ice cream for this event. Senior Services Assoc. has been approached about using their vans to transport those who cannot easily walk the distance. August/September—Hometown Days celebration. Have the Time Capsule vault there all weekend to allow people to turn in their submissions. Possibly a clear plexiglass cover with a slot in it to keep things from blowing away,being taken, etc. Time Capsule would be sealed in a ceremony at 6:30 p.m. on Sunday, Sept. 2"d,between the bands scheduled to play. October—have float in the Homecoming Parade, and possibly honor class of 1957. Mayor Prochaska announced the Beacon News is doing a Progress edition and will have a featured article on Eldon Madden. There was a suggestion of having a commemorative item to sell, ornament, coin, T-shirts? JoAnn will check on this. 4. The Logo was discussed. The artist who has done some work in the past has not gotten back to Glory. A suggestion was made to use the center portion of the current United City of Yorkville logo, and add wording around it. Possibly"50 Years and Growing"of "Together We Grow." Additional Business—Glory passed around sheets for volunteers for the various committees to sign up for. Having an additional committee for Sponsorship was discussed. A list should be made up with all of the various events and items needed—such as ice cream,napkins, bowls/cups,plexiglass cover for Time Capsule, float costs, etc. to see if any groups or individuals would like to contribute. Scout and Church youth groups were suggested as contacts for help in cleaning up after events for badges and community service hours.
