Christmas Activities Old Business: Additional Business: Adjournment: CULTURAL COMMISSION Wednesday, October 19, 2011, 5:30 pm City Conference Room 800 Game Farm road,Yorkville, IL 60560 In Attendance: Committee Members Harold Oliver, HRM Howard Manthei, Rick Falato,Yorkville Big Band Stephanie Todd, Kendall County Historical Preservation Other Guests: Tom Todd Don Zellmer, Follies Theater The meeting was called to order at 5:30 pm by Harold Oliver. Roll Call Roll Call was taken by Harold Oliver. Citizens Comments: Mr. Don Zellmer stated that last time he was in attendance this theater was a concept. Don stated they are scheduled to open on New Years Eve. He stated that the press said December, 1 st, but that was not realistic. It will be New Years Eve, which will be great. Don stated that we are now on board with Yorkville. Don stated that things are rolling along. He said we are not announcing what the show is to the press because there is so much to tell about how much this is bringing to Yorkville with tourism etc. He said it will be Fly Me To the Moon. By Sinatra. Don stated that we will be there 52 weeks per year. We are going to be doing kids classes. Don stated that Howard Johnson met with him last night and we discussed doing comedy improv shows. Don stated that we are going to do comedy and Bransen style things using his background. Don stated that the building is being renovated and is working out great. Rachel from Cobblestone will be doing concessions, which will include wine, micro brew, cheese trays etc. It is not a big space, but we can comfortably put 65 people, which is a conservative number. Don stated that we are casting, promoting, printing and we are very busy. Don stated that he would love to attend the next meeting. He stated that for the holidays it is a big tourism time and he said that he is here for their use for gallery space for arts etc. Don said that we did those kinds of events in Utica before. Don said anything that you need access to, please let us know. He stated they want to be a part of the community. He said that we are not the type of performers that appear on stage and then 1 disappear. We want our cast to interact with people and the community. Many of the staff will be moving to Yorkville. There will be an open casting call to get performers involved here. Don stated they have closed the facility in Utica. Don said they work with colleges etc. Don stated that they are open to suggestions and anything the committee needs. If there is a historical tour that we can hook onto a show and the Hampton Inn with a package it would be great. Art shows, garden walks etc. it would be a great addition. Rick and I have been working on creating a company called YES! Yorkville Event Specialists. He stated that we need to capitalize on the river and the historic areas. Don stated he knows that there are plans for downtown as far as entertainment and arts. He stated that they have some ideas for some of the properties downtown. Craft fairs, fine arts fair, children's festival or jazz festivals. Stephanie Todd stated that the Farnsworth house is a huge tourist attraction and she stated they could hook up with them and add a show for that tour. Howard stated that we could use help with Yorkville Has Talent. Don stated that he is planning on attending the monthly committee meetings. Don said that he does fund-raising for Illinois Valley Cellular. Don stated he produces a dancing with the stars events with local media celebrities and pair them with professional choreographers and then the money is divided up between charities. He stated if there are local fundraisers going on for arts we could use the admission money for that. Harold stated that if he wanted to apply to be an official member of the committee, it would be wonderful. Previous Minutes: The minutes from August 17, 2011 meeting were approved. Motion was made by Howard Manthei and seconded by Stephanie Todd. Committee Reports: Yorkville Has Talent- Harold Oliver stated that this project is moving along. Robyn Sutcliff and Tammy Eaton are working on it and were supposed to be in attendance tonight. Historical Downtown Walking Tour—Harold Oliver suggested that we take this item off of the agenda until we get someone else involved. We should just have Yorkville Has Talent, PR, grants and Historical Jail. Historical Jail—Howard Manthei stated that Tom Todd was in attendance. Howard stated that Stephanie and Tom showed up to help paint. Howard stated that in the last month things have been moving along great. Howard said there are now lights and the jail looks better than it ever has. Tom didn't stop with lights. Tom got the jail door to work. Harold stated to Tom that we are so grateful for the help. Howard stated that there is now working lights in the jail. Howard said that tomorrow night will be the decorating. Tammy Eaton will have the kids there at 6:00. There will be Middle and High school kids helping. Howard stated that there will be concessions. Howard said the Mayor and his wife were there the other day and after talking, the Mayor's wife will be in charge. She has already been there and set up the tables. Howard said that they will donate the first night's concessions. Harold stated that we have money for that. Howard stated that we have $2,928.35. Howard stated that includes the windows and he will check on the insurance. Howard said that we started with $5747.00 as of May 2011. Harold 2 asked how much insurance is. Howard stated he believes around $1,600.00. Howard stated in the last month the electrical is now working, so there will be some charge for wire etc. Harold said hopefully in the next couple weekends we will raise a few more thousand. Stephanie Todd said we could do a tour for the jail as we are restoring it and charge for that. Harold stated that we need to make sure that the kitchen floor is safe. Howard said that there is a bit more work first. Stephanie stated that people would like to see the progress. Harold said safety is a first. Howard said that it is Friday and Saturday this week and next week. Howard said the garage is set up for the staff for makeup etc. Weather looks good for the weekend. Valarie will take the money and Robyn will be available the following weekend. Howard stated that there was an article in the Beacon today. Tony Scott was in for a walk through and that will be in the next week paper . Howard stated that we are in Patch here,Aurora, Oswego and Naperville. Harold stated that the article in the Beacon was a good one. The art teacher did the signs in the park. We didn't have signs last year . Howard said he is picking up directional signs tomorrow. Harold stated there was a study flow last year. Howard said that they cut it down to two days and cut an hour closing at 9 p.m. Instead of 10 p.m. Harold stated that he did a tour before we came here tonight. Harold stated that we need to make heating a priority even if in the basement just to keep enough heat to keep the dampness out of there. Harold stated that he believes that he has a furnace. It is used, but as long as it is not too old they can use it. Stephanie asked about the duct work. Harold stated that he has someone that can hang that for us. Harold said for now, it will go into the basement and then the first floor. We will wait on the second floor. Harold said that when you heat the basement and first floor heat will rise. Stephanie asked if we have a time limit when we have to be open for tours. Howard stated it is 2012 and we are on schedule. Public Relations—Harold stated that he is still working on getting Valarie Burd on this committee. Grants—Harold stated that he has his office employee working on different things. Stephanie Todd stated that she received an e-mail about the national trust doing a thing with HUD for use of historic buildings. Harold asked her to forward that to him. Stephanie stated that there are competitive grants and you have to be on the national register or land marked by a preservation commission. Stephanie stated that we would have to get on a national register. Howard said that is top on his list. Harold stated that it should not be done yet because there are more guidelines. Stephanie stated there are not guidelines or regulations. Harold said then lets take a look at it. Harold stated that he doesn't want anything to cost us more than it should. Howard stated that he could make a motion that we study the possibility of what is involved. Stephanie stated that we contact them and tell them what we want to do. He already said that it is almost certainly the right kind of building. Harold made a motion to research the possibility of national trust designation. Howard Manthei made motion and Stephanie Todd seconded. It was approved by voice vote. New Committee Members—Harold stated that we asked Tammy Eaton and Robyn Sutcliff to apply. We have now asked Don Zellmer to apply. Harold stated that he talked to Gary about increasing the numbers. The more members that we get the better. Cultural Committee Meeting Schedule for 2012 —Rick Falato asked if there is a meeting in November. Harold stated that we need to try to squeeze a meeting in if possible. Harold asked if the 3 third Wednesday same time will work next month. Harold stated that for 2012 we should keep the same time. The committee agreed that it seems to be working out well. The committee looked at the 2012 calendar and discussed different dates. Stephanie Todd made a motion to schedule the Cultural Commission meetings on the 3rd Wednesday of the month and it was seconded by Rick Falato. Approved by voice vote. Harold stated that he thinks we should be doing press releases. Howard suggested putting the meeting times in the Patch. Haunted Jail—Harold stated that Howard has things covered. New Business: Harold stated that we wanted to discuss funding. Harold suggested that we add that to next month business. The committee agreed to add finances to next month. Harold stated that we should be discussing finances each meeting. Harold stated that it might need to be a finance committee. Harold stated that we will discuss this next month. Adjournment: Stephanie Todd made a motion to adjourn and it was seconded by Howard Manthei and it was approved by voice vote.
