Trivia Night Committee Meeting
Tuesday, March 26, 2013, 6:00pm

The meeting was called to order at 6:00pm by Chairperson Jo Ann Gryder.

The meeting day in the heading of minutes should be changed to Thursday rather than
Monday.
Business
Trivia Night
Judy stated that thank you letters for the donated items should be personalized and sent as
items are received. She drafted the letter so it can be used for tax purposes. Currently
there are 6 silent auction items. Judy will take a photo of the items received so far and
submit with a press release. She will process the receipts for donations received the
night of the event.
Jo Ann reported she will follow up with Cobblestone on Thursday. Cobblestone will
also put together an Irish-themed basket donation. River City Roasters will provide mini-
sandwiches. They will also donate coffee and a silent auction basket. All food items will
be donated. Marlys will ask Michelle to purchase plates that are needed—all other
supplies are on hand.
The banners were discussed and Barb will be asked to make follow-up calls from home.
It was discussed whether or not another Board member could also assist the committee
due to Barb dealing with family health issues.

Trivia questions from Barb and Judy were reviewed and Marlys will compile all the
categories (10 questions per category) into a standard format for the event. The
categories are: history, geography, science, current events, sports, movies, classic
books/bestsellers, famous buildings/locations, music, sink/float and tie-breaker questions
(if needed).
Information was received from library personnel that no one has reserved spots for the
event and that the price and food are being questioned. It was decided that more
information will be included in future press releases. A possible price reduction was
discussed and ultimately it was decided to keep the $20 per person, but change the table
cost to $120. It was noted that guests might spend less on the silent auction items if the
initial cost is too high. Judy will include the $120 per table in future press releases and
food descriptions will be more specific.
Jo Ann will also ask Barb to make phone calls to various organizations soliciting
participation. If she is unable, the Board members will be asked to help contact
organizations.
Marlys will distribute posters at various locations in town and send updated PR to the
Beacon News. Judy reported she sent a request to the Lions’ Club to include trivia event
info on their sign. It is thought the info is also on the Library Facebook. She will also
send “bookmarks” to six surrounding libraries and also update the flier with the table
price and correct library website.
Committee members will all work on current events questions and “sink or float”
questions. A tie-breaker question was also suggested. A walk-through of the event will
be reviewed to formalize all details.
Summary of Assignments:
Barb: will be asked to make follow up calls on banners, and to various organizations to
solicit participation, if she is able
Jo Ann: follow-up with Cobblestone
Judy: PR articles, send bookmarks to other libraries, update flier, send thank you letters
for silent auction donations
Marlys: compile trivia questions, distribute posters around town, ask Michelle to
purchase plates, send updated PR to Beacon News
All: work on current event questions and sink/float questions
The committee will meet again on April 3rd at 6pm [this was later changed to April 6th].
