AN RESOLUTION CREATING THE POSITION OF OFFICE ASSISTANT IN THE UNITED CITY OF YORKVILLE, KENDALL COUNTY, ILLINOIS WHEREAS,THE UNITED CITY OF YORKVILLE,through its City Council, Mayor and City Staff, after careful consideration have found and deemed it necessary for the benefit of the UNITED CITY OF YORKVILLE to create the position of Office Assistant; and WHEREAS,the job position for Office Assistant will have the duties and responsibilities as set forth in the attached job description; NOW, THEREFORE,BE IT RESOLVED BY THE UNITED CITY OF YORKVILLE, THAT THE POSITION OF OFFICE ASSISTANT IS HEREBY CREATED That said position will be directed by the City Administrator and shall work directly under the City Administrator. The job description for Office Assistant is attached hereto and is made part hereof as Exhibit"A". The hiring of a person to fill the position Office Assistant should be subject to all probationary rules and regulations as set out in the current employee manual. Repeal All ordinances, resolutions or orders, or parts thereof,in conflict with the provisions of this ordinance are to the extent of such conflict hereby repealed, and this resolution \..f shall be in full force and effect forthwith upon its adoption. Page 2 of 2 UNITED CITY OF YORKVILLE Office Assistant JOB DESCRIPTION Department: Administration Reports To: Administrator's Assistant Status: Part-Time 20 hours per week not to exceed 1000 hours annually Positions Description Overview This individual assists the administration and engineering departments in a variety of general office tasks including, but not limited to, typing, response requests, project tracking, filing and some accounting. This position requires an individual who has the ability to organize and prioritize multiple tasks. Essential Job Functions 1. Prepare and send out monthly billing statements. Prepare and send initial bills for outside consulting services, engineering, weed mowing, and other expenditures. 2. Respond to all response requests for streets, streetlight outages,property standard issues and weed violations routing them to the correct department. Notify PW and/or issue required notices. Follow progress and prepare weekly up date reports. Send certified letters for violations. Contract for weed mowing. 3. Maintain project tracking for all capital improvement projects,private/public development projects, fiscal management projects and any other contractual or planning projects or studies as determined by the City Administrator. 4. Type correspondence, faxing and copying as requested by the City Engineer. 5. Act as backup relief to answer phones and provide customer service at the front counter. 6. Provide assistance to Administrator's Assistant with day-to-day operations such as mailings,preparing meeting packets and filing. 7. Assist in other areas as requested. 8. Participate in cross-training with other job functions within the department. 9. Develop a thorough knowledge of the Windows Programs including office software and project tracking software along with networking within Novell. 10. Other duties as directed by your supervisor or City Administrator. • L! u Requirements - Knowledge, Skills and Abilities 1. Ability to type a minimum of fifty (50)words per minute. 2. Ability to organize,prioritize and handle multiple tasks. 3. Ability to maintain confidentiality. 4. Ability to calculate utilizing basic math skills. Minimum and Preferred Experience and Education 1. Previous experience in an office setting. 2. Previous computer experience in a Windows setting. 3. Must be willing to attend training classes to increase knowledge of job related knowledge. 3. Must successfully complete a background investigation with findings of good character and no felony convictions. jdescoffassist
