Minutes for Approval/Correction: None 2. Update Regarding Senior Services Location—Mayor Art Prochaska met with Mr. Oliver. Mr. Oliver will pay to have the architectural and construction drawings and the work done to the Beecher Building at no cost to the city. Mr. Oliver also restoring and remodeling the old Castle Bank Building. It will have a community room on the lower level, and he will be installing an elevator. Mr. Oliver is also working on a program to revamp the old Parks Building, which is also the old Police Station. The remodeling of the Beecher Building will be finished in early September, in time for the fund raiser, being held on September 11th, 2005. 3. Joint Fund raiser—Polka Party- Madonna Bialek passed out a copy of what she came up with for a ticket and a list of questions and ideas. As she was going over it, the committee members gave their input. The tickets have all the information about the event and it has an entry for the door prizes on the back. Madonna Bialek put her phone number on the ticket because her husband knows how to speak Polish, and she knows a lot of Polish people will be calling. She also created an E-Mail address for this event. Alcohol will not be sold at the Beecher Building. It will be written on the ticket that food, non-alcoholic beverages, and homemade baked goods will be sold from 1 — 5 pm. It will also be clarified that doors open at 1 pm, the show from 2—6 pm and the food sales will be 1 —5. The children of Yorkville schools wrote Thank You notes for the soldiers. Madonna Bialek passed around an example of what the children made. The soldiers will also receive"kisses"to sign and send to their loved ones. The name of the Party will be Pomienc (means remember in Polish)and Polka. The Band is willing to sell the show tickets in their store. Page 2 of 3 Raffle tickets could be decks of cards that were torn in half, or they could be rolls of tickets. Any raffles would have to be run under one of the Agencies. Chris Pegoria from WSPY will know where to get a stage. The event will be advertised in the local papers and Radio. Also possibly the local TV station. It will also be advertised in the Chicago newspapers and through WGN. There is a new Polish restaurant in Mason Square, Oswego that may be reasonable for catering, as well as Wurst Sausage that sells Polish sausage in Plano. It is thought that more people would like to have a sandwich instead of a big dinner ticket. It is also thought the Bake Sale would do better if there were not big dinner tickets. Dinner will be from 1 —5 pm and the show will be until 6 pm. Madonna Bialek was thinking the centerpieces should be red white and blue with the Polish flag inserted in the middle of them. The centerpieces could be given away as door prizes, or donated to Hillside Nursing Home. The Band has a CD from a Polka Band in Chicago, which has American songs put to Polka music. The CD will be played on one of the Band's breaks. There will some CD's donated by the Band to give away. The Sergeants will walk on the Memory Walk. Madonna Bialek can put together a program listing all the contributors and would be telling what would be happening that day. It could also have phone numbers and addresses of all the Senior Organizations for recognition, as well as to give the people information about where to go in this area. There was discussion about who to make the checks out to. It could go towards building a new Senior Center, but it was thought this would be a small amount of money and the building will not be built for a few years. The checks should be made out to the Senior Services for use for programs. Art brought up that this needs to be tied into September 11th. He is afraid of this being looked at as a party for September 11th. The last part would be a Patriot's Walk in remembrance of September 11th, where the Thank Yous and kisses will be handed out. Maybe one of the local Realtors can pass out flags for the walk. The Senior Services and Salvation Army and the City of Yorkville will be the hosts of the event. Bette Schrenholtz is wary of doing a silent auction because of the date. She does not want to take away from September 11th being a commemorative event. There will be signs put up directing people to the Beecher Building for the event. 4. Yas/Fishel Senior Center Space Needs Drawings—Bart Olson passed out an Ideal Spatial Relationships Diagram. Bart Olson went over the comments he had received at a prior meeting to make sure that what was being presented was what is needed. As each prior comment was discussed, committee members made more comments on the needs of the building. It was thought the kitchen should be enlarged to 500 square feet. The Multi-Purpose Rooms and the Arts and Crafts Room is a large room with dividers to separate the rooms, or to be able to have a large space when it is needed. The total for this area is 2750 square feet. It was thought there should be a separate dining alcove to seat 40—50 people for everyday activities. Page 3 of 3 The Food Pantry needs it's own space of 2700—3000 square feet. The Food Pantry will need it's own access to the outside, as well as an access through the lobby. There should be a loading and unloading entrance to the building near the kitchen as well as the Food Pantry with an overhead door. There should be 3 small offices inside of the Office/Registration Room. There should be 2 offices off the Multi-Purpose Rooms, 1 Office between the Weight Room and the Billiard Room. There should also be an office near the kitchen. If the building will have multiple levels, it should have an elevator. The kitchen will need more storage than what is listed on the drawing. The washrooms in the locker area should be flipped around. The bathroom should connect to the hallway and the locker rooms should be behind the bathrooms. There should be more smaller Multi-Purpose rooms that can open up into a larger space. There should be a meeting room that is 750 - 1000 square feet. There should be a room near the main entrance where people can sit and visit and have coffee. There needs to be a room for Adult Day Care. It will need to be 2000—3000 square feet. It can double as the meeting room at night. It will need bathrooms nearby as well as offices. It could be opened up into the Multi-Purpose Rooms. These new comments will be incorporated and come back to the committee at a future date. 5. Additional Business—Art would like to see the Senior Ad-Hoc Committee to eventually convert to an Advisory Committee. This will be discussed at the next meeting. 6. Set next meeting date.
