library11-14-05 Page 1 of 3 Yorkville Public Library Board of Trustees November 14,2005 7:00 pm. The meeting was called to order at 7:00 pm. by President Jo Ann Gryder. Roll Call Members present: Beth Gambro, Jo Ann Gryder, Carol LaChance, Marilyn Vorderer, Russell Walter, and Marianne Wilkinson. Members absent: Gail Gaebler, Dr. Joseph Gruber, and Sandy Lindblom. Library Director Michelle Pfister was also present. Recognition of Visitors None. Amendments to the Agenda None. Minutes On the October 3`d minutes,Page 1 of 4 should be corrected to be Page 1 of 2. Marilyn Vorderer moved to approve the minutes as corrected. Carol LaChance seconded the motion. All were in favor. The motion carried. Correspondence None. Public Comment None. Report of the Treasurer Tom Lindblom has looked over the bill from BCA and found that the charges were O.K. Russ Walter is waiting for the audit from the city to be done. The library has a CD that will get cashed in and deposited into the Money Market Account. Marianne Wilkinson moved to approve the bills and payroll in the amount of$103,548.62. Marilyn Vorderer seconded the motion. All moved to pass with a roll call vote. The motion carried. Page 2 of 3 Report of the Librarian Circulation was 5,933 items for October. This is 227 items less than last year. 97 new patrons were added and 419 new items were added. Rita Feltes went to the SASSY (storytelling and Sharing Skills for Youth) meeting. It will be hosted by the Yorkville Library in November. 50 people came to the groundbreaking ceremony. The Irma Hardecopf memorial money is now all spent. The collection has 356 music Cds. This week is Children's Book Week. The theme is Hang Out and Read. Mother Goose will come to the Library on Wednesday. No more videos will be ordered. Everything new will be on DVD. Elizabeth Wheeler wants to start a writer's group at the library. Santa will not be coming to the Library this year. It was too crowded last year. Santa will come again when the new library opens. City Council Liaison/Human Resource None. Standing Committees • Policy—None. • Personnel—None • Community Relations—None. • Finance—There will be a meeting when Tracy Pleckham gets the numbers finished. • Automation—None. Unfinished Business Library Addition - There were some letters in the packet regarding the retainage percentage for the builder. Retainage was maintained at 10% until 50% completion, at which point it will be reduced to 5%, and 2 '/z% at substantial completion. There had been a plumbing problem, but it has been handled. It would not have been an issue if the existing building was going to be remodeled along with the construction of the new building. The new sewer line is too close to 2 of the piers. It is a$9,000 change to move the sewer line. It is something Russ Walter felt BCA should have known about. It had to be handled because it has to be under the concrete pad. Tom Lindblom is watching over everything. Construction is going well. There will be an Owner's meeting this Thursday, and there will be one the Wednesday before Thanksgiving, which will be a meeting to discuss the first payout. Henry Brothers took minutes of the last Owner's Meeting, and a copy of those minutes were in the packet. Yorkville Bristol Sanitary District has waived the $37,000 connection fee. Page 3 of 3 Checkpoint Library System—Michelle Pfister believes Checkpoint is the way to go. The librarians should start putting the bar codes in the books now. Russ Walter will figure out the money. Some of the system will have to be purchased up front, and some can be paid later. There will be 3 self checkouts. The money will come from the development fees. Everything will get coded now, but it will not be implemented until the Library is in the new building. Marilyn Vorderer made a motion to purchase the Checkpoint System not to exceed $200,000 including the 5 year warranty. Russ Walter seconded the motion. All moved to pass with a roll call vote. The motion carried. Library Trustees on Web Site—Michelle Pfister would like to have the Board Member's names on the website.
