REGULAR BOARD MEETING
JULY 8, 1991
I. CALL TO ORDER: The regular meeting of the Yorkville Public Library Board
was called to order by President Mary Pat Storm at 7:04 P.M.
II. ROLL CALL: Present: Evans, Kimes, Munson, Sanders, and Storm. Others
present: Robert Jackson, Michelleen Pfister, and Cliff Jahp.
III. MINUTES OF THE PREVIOUS MEETING:Sanders moved, Evans seconded to approve
the minutes of the June meeting as corrected.
IV. TREASURER'S REPORT: Sanders noted that the Vanguard payment was a double
payment as per the agreement with Vanguard. Also noted were a $75.00 adopt-
a-magazine donation and a $100.00 Women's Club donation. Correction to
the bills was the Bur Oak bill was to be a 25A instead of 15A. Sanders
made a motion to pay the bills, seconded by Munson. Roll Call: (YES)Evans,
Kimes, Munson, Sanders, and Storm. Evans made a motion to accept the
financial statement. Voice vote:Carried.
V. LIBRARIAN'S REPORT: Pfister gave this month's Librarian's Report. After
making sure Bob had been introduced to all members of the board and the
City Council Liaison, she reported that all had gone very well the first
week with our new director.
With her librarian's report, she noted that circulation is still way
down, and the board discussed various possible reasons why this may be.
Also reported, the library has received the intergenerational grant for
4,260.00. The per capital grant was presented and is ready for mailing.
VII. CITY COUNCIL REPORT: Cliff inquired on the page that the library
is wanting to put into the Chamber of Commerce book. Kimes reported that
this was now being handled by Mary Kay Spect who is handling the City's
portion also. He also presented a letter from.Attorney Kramer's office
with some notices they received from Bill Thomas. No action was taken.
VIII. OLD BUSINESS: The new pages for the policies handbook are available.
IX. NEW BUSINESS:
EXECUTIVE SESSION: Munson moved, seconded by Evans, that we move into
executive session for the purpose of considering information regarding
the appointment, employment, or dismissal of an employee or officer.
Roll Call: (YES)Evans, Kimes, Munson, Sanders, and Storm.
ADJOURNED INTO EXECUTIVE SESSION AT 7:40.
Reconvened into open session at 8:00. Roll Call: (Present) Evans, Kimes,
Munson, Sanders, and Storm.
Motion was made by Evans, and seconded by Sanders to terminate the employment
of probational employee Jacqueline Martin as of July 12, 1991 with pay
for the hours scheduled through that date.
Robert Davidson arrived at 8:05. The library board presented him with
two books, one for his collection and one to be put on the shelves at the
library in his honor. The board also thanked him for all his help again
and presented him with his own library card.
It was decided to put an advertisement in the paper and to post an ad at
the library to try and sell the old Xerox copier by bid.
A letter was read from Jay Larson of Bur Oak in response to our letter
expressing our concern for SAVS billing practices.
Evans moved that the meeting be adjourned, seconded by Munson. Meeting
was adjourned at 8:24 P.M.

Dear Ms. Kimes:
I have spoken to Ron Maclntyre, Director of SAYS. about your concerns with
regard to a late billing for a damaged CD borrowed from SAYS. He assured me that
the late billing was an error and was not standard procedure. I might also say
that a six month lag in billing is not our experience with SAYS. We did not
receive the bill in question at Bur Oak, however. until April. We then added it
to our next billing. which was May. Mr. MacIntyre and I both agree that the six
month lag, is not acceptable. I hope that it will not occur again. and I hope
that your library will continue to borrow materials from SAYS. I apologize for
the inconvenience.
